Build Your Live Performance Infrastructure

The Tour component of Musician OS gives you the infrastructure to make this transformation, handling the operational complexity so you can focus on creating unforgettable moments that convert listeners into lifelong fans.

Action Items

If you’re ready to start touring, doing shows or just a few performances. Here’s how to get setup:

1. Create Your First Tour

  1. Navigate to the Tour component from your Musician OS homepage
  2. Click the + Add button, then select New Tour
  3. Fill in the essential details:
    • Tour name (make it specific and memorable)
    • Start & end dates
    • Include a brief description of the tour's purpose or focus
    • Set the tour status (Planning, Confirmed, In Progress, or Completed)

2. Add Your First Performance

  1. While in the Tour component, click + Add then select New Performance
  2. Complete the core performance fields:
    • Name and city
    • Venue (create a new venue or select an existing one)
    • Event date and performance times
    • Set performance type (Headline, Support, Festival, etc.)

  3. Add detailed logistics information:
    • Load-in and soundcheck times
    • Door and set times
    • Performance duration
    • Event promoter contact information

3. Set Up Tour Accommodations

  1. From the Tour dashboard, click + Add then select New Accommodation
  2. Fill in the key booking details:
    • Accommodation name and address
    • Check-in & check-out times and dates
    • Number of rooms and people staying
    • Payment amount and due date
    • Add the booking link for easy reference
    • Connect this accommodation to the appropriate performance(s)

4. Book and Track Flights

  1. Navigate to the Flights section within your Tour component
  2. Click New page to add a new flight
  3. Enter all flight information:
    • Flight number and airline
    • Departure and arrival airports
    • Departure and arrival times
    • Baggage allowance details
    • Seat assignments for your team
    • Ticket costs for budget tracking

  4. Link each flight to the relevant tour and performance entries

5. Create Performance Advances

Advances are detailed documents that outline all specific requirements for a show:

  1. In the Tour component, click + Add then select New Advance
  2. Connect it to the specific performance it relates to
  3. Fill in the technical requirements:
    • Technical rider specifics
    • Backline delivery and collection times
    • FOH and monitor engineer contacts
    • Lighting requirements
    • Production manager details

  4. Add any specialised needs:
    • Support tech specifications
    • Vehicle notes
    • Schedule details

6. Share Your Tour Information

To keep your entire team informed and aligned:

  1. In the upper right corner of the Tour page, click the Share button
  2. Enter the email addresses of team members who need access
  3. Set appropriate permission levels:
    • Full edit access: For key team members (manager, tour manager)
    • Comment access: For crew who need to add notes but not change core details
    • View only: For supporting staff who just need reference information

  4. Include a brief message explaining what you're sharing
  5. Click Invite to send the access invitations

7. Create Custom Views for Different Team Roles

Different team members need different perspectives on tour data:

  1. Navigate to any database (Performances, Accommodations, Flights) in your Tour component
  2. Click the view dropdown menu (top right of the database) and select + New view
  3. Create custom views for different purposes:
    • Tour Manager View: All details including budget and logistics
    • Band View: Performance times, hotel details, and travel info
    • Tech Crew View: Focused on load-in, soundcheck, and technical details
    • Management View: Financial overview and key performance metrics

8. Conduct Your Pre-Tour Review

One week before your tour begins:

  1. Schedule a 60-minute tour review meeting with your team
  2. During the meeting, navigate through your Tour component together:
    • Verify all performance details are complete
    • Confirm accommodations are booked
    • Ensure flights and transportation are arranged
    • Check that all advances have been completed and sent to venues
    • Review emergency plans and contingencies
